Job Title: Administrative Assistant

Job Description: Responsible to coordinates special projects and assists Managers, Directors and Executive Leaders in the completion of special projects in areas such as eligibility, leaves of absence, health and welfare plans, PTO, plan documents, SPDs, responses to attorneys, courts, regulators and presentations for trustees. Prepares requirement documents, maintains benefits records and reports necessary for implementing and maintaining coverage. Performs assigned special projects related to the administration of the Company's Employee Benefits Program.

Job Responsibilities:

  • Constructs procedure manuals for complex processes within the benefits areas, as well as edits the language in Summary Plan Descriptions (SPD’s) and plan documents.
  • Responds to questions from HR and LR regarding coverage under company programs.
  • Assists with the preparation of annual statement of benefits.
  • Ensures data is properly captured, transmitted to and processed by outside record keepers. Interfaces with same to ensure plan administration occurs properly.
  • Ensures that periodic wire and data transfers occur timely and are balanced appropriately.
  • Establishes and maintains productive working relationships with other company departments and outside vendors.
  • Participates in weekly medical consultant review process.
  • Works with HRSS department on system testing for new benefit plans and changes to current benefit plans.
  • Independently handles moderately complex issues that can be resolved by referring to Plan documents.
  • Coordinates non-discrimination testing of benefit programs.

Administrative, MS office (word, excel, power point), processing invoices, organization, benefits or HR background a plus

Work Schedule – M-F 8:00 AM-4:00 PM
