Administrative Assistant 

Location: New York City

Shift: 8am- 5pm M-F

Job Summary

The Retail Preservation Coordinator provides assistance to the Preservation Managers and proactively seeks ways to streamline daily processes and procedures.

Key Qualifications:

  • Excellent analytical, statistics or research experience required
  • Excellent organizational and problem-solving skills
  • Excellent communication skills (both verbal and written)
  • Must be a self-starter who is comfortable working independently
  • Proficiency in Numbers and Microsoft Excel
  • The ability to speak multiple languages is a nice to have
  • Familiarity with AutoCAD and/or prior experience in the construction industry are preferred

Primary Responsibilities:

  • Filing, Create and maintain project and facilities files (digital and hard copy)
  • Daily coordination of service requests to ensure service level alignment with preservation processes, guidelines and Preservation Management
  • Verify that all service level work orders are accurate to provide for pre-planned maintenance scopes
  • Verify that all vendors are utilizing work order management tools per management expectations and guidelines
  • Assist Preservation Managers on all emergency response scopes
  • Work with Preservation Managers and Financial Analysts to submit and track purchase requisitions, vendor reconciliations to assist in meeting fiscal goals and service expectations
  • Presentation and Meeting Preparation: Coordinate the preparation and assembly of documents for presentations and meetings
  • Communicate between multiple departments and coordinate internal and external meetings

Secondary Responsibilities:

  • Administrative: Calendar management, travel arrangements, expense reports etc.
  • General office administration
