Job Description

Volt is looking for an Administrative Assistant in Atlanta GA.

Qualifications:

  • Typically Required: 3-5 years of experience in the field or in a related area.
  • Requires a high school diploma equivalent
  • Associate’s or degree or equivalent preferred
  • Advanced knowledge of MS Office skills including Word, PowerPoint and Excel are required.
  • Excellent oral and written communication skills and an excellent command of the English language. Ability to maintain confidential information.
  • Ability to work in a team environment.
  • Ability to use, operate and train others on standard office equipment.
  • Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Analytical ability required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. Ability to plan, direct and coordinate the work of others. Ability to develop and maintain effective working relationships with others.
  • Ability to handle sensitive interpersonal situations. Journal Entry into billing system.
  • Peoplesoft experience.
  • Typically works in an office environment with adequate lighting and ventilation, and normal range of temperature and noise.
  • Requires communications with department, marketplace and Region personnel, and external marketplace.
  • Work assignments at times are routine and repetitive; the supervisor provides detailed instructions.
  • Work has some stress due to imposed due dates of communications and/or material.
  • Some physical effort is required to remain in sitting position for prolonged periods while concentrating on a specific task.

Responsibilities:

  • Provides exceptional support and service to assigned department through all mediums including correspondence, presentation, manuals, newsletters, meetings, company activities, etc.
  • Directs and coordinates general administrative support with minimal supervision including: Responsibility for directing the work of other Administrative Positions Coordination of duties and workload management for facility administrative staff (typically receptionists, mailroom personnel and/or CSRs).
  • Provide input to or responsible for hiring and firing of administrative support positions as well performance reviews.
  • Organizes updates and maintains calendars.
  • Responsible for purchasing supplies and management of expense related items (invoices, financial coding, ordering of internal supplies, and upholding the purchasing policies).
  • Also responsible for submitting all POs and check requests for office needs (Per Diem, Chamber of Commerce dues, customer donations, local advertising, tradeshow/event needs etc.).
  • Performs general administrative duties including typing office correspondence, receiving telephone calls, screening and organizing mail and filing.
  • Coordinates travel plans and itineraries, details of meetings/conferences and maintains calendar on a daily basis.
  • Ensures the recording and submission of payroll for all employees within function supported. Coordinate and sets up related events for internal and external customers.
  • Coordinate all function events not covered by Marketing, including media solicitations and participations, and non-profit sponsorships. Performs other duties as assigned.
