Job Description:

Our client is looking for an executive administrative/scheduling assistant in their corporate office located in Sacramento, CA. 

Candidates should be solution driven, able to think outside the box and have a strong work ethic. Strong organization skills required.   
 

Essential Duties & Responsibilities: 

  • Scheduling of all appointments
  • Arranges detailed travel plans, itineraries, and agendas, and compiles documents for travel-related meetings
  • Manages invitations, relevant follow-up and thank you notes, call sheets and other correspondence
  • Plans, coordinates, and ensures the schedule is followed and respected. Provides "gatekeeper" and "gateway" role.
  • Works closely and effectively to keep COB well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the COB updated.
  • Assists and coordinates meetings and events. This may include some or all of the following: event planning, contract review (hotel/catering/other vendors), scheduling, invitation, reservation and preparation of guest accommodations and the distribution and preparation of meetings.
  • Maintains discretion and confidentiality at all times
  • Must be flexible and be available to work occasional weekends and after hours
  • Strong initiative and ability to manage multiple projects

Minimum Qualifications:

  • Minimum 5 years’ experience in an administrative support C-Suite
  • Heavy calendaring using Outlook required
  • Experience assisting and coordinating meetings and events is required
  • Excellent communication, writing, and computer skills (Microsoft Office Suite) are necessary. Advanced Outlook is required
  • Self-motivated, proactive, and able to work independently
