ESSENTIAL RESPONSIBILITIES
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Maintains an organized filing system of paper and electronic documents
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
- Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Represents the executive by attending meetings in the executive's absence; speaking for the executive
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
- Coordinates executive communications, including taking calls, responding to emails and interfacing with clients
- Prepares internal and external corporate documents for team members and industry partners
- Schedules meetings and appointments and manage travel itineraries
- Arranges events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
- Develops and sustains a level of professionalism among staff and clientele
- Uphold a strict level of confidentiality
ESSENTIAL QUALIFICATIONS, REQUIREMENTS AND SKILLS
- Minimum of 4 years’ experience as an Executive Assistant reporting directly to senior management
- Bachelor’s degree preferred
- Advanced Microsoft Office Skills, with an ability to become familiar with firm-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Excellent writing and reporting skills
- Exceptional interpersonal skills
- Friendly and professional demeanor
