Volt is immediately hiring a Marketing Administrative Assistant for a global automotive manufacturer in Fountain Valley.

As a Marketing Administrative Assistant you will:

  • Coordinate the day-to-day operations of marketing departments administrative needs including:
    • Marketing Budget Coordination:  Invoicing for programs, processing and entering all department invoices into SAP and Smart Sheets.
  • Maintain budget accuracy via working with internal project manager, external agencies, internal managers, and internal controller.
  • Route estimates and invoices for necessary approvals and signatures and follow up on approvals and payments.
  • Produce budget reports as needed and work with managers on quarterly, yearly accruals and budget transfers.
  • Work with managers on internal purchase requests and purchase orders and be main contact for procurement and purchasing department.
  • Serve as contact person for billing issues, reimbursements and set up new vendors in SAP.
  • Assist in management of contracts, invoicing and tracking billing cycles.
  • Assist in on-going marketing department materials routing to ensure proper approvals and signatures.
  • Assist with the execution of major programs and events, including, fulfilling vehicle needs and performing administrative tasks.
  • Coordinate marketing vehicle fleet and maintain accurate vehicle records.
    • Work with internal managers, Vehicle Administration and external agencies to track, order, and log vehicles coming and going for marketing purposes.
    • Maintain log of vehicle status and coordinate vehicle service needs.
    • Produce weekly and monthly executive vehicle reports.
    • Serve as the primary contact for marketing’s vehicle fleet, including executive requests and external departments.
    • Coordinate vehicle delivery details with external agencies to ensure proper event execution.
    • Weekly HQ visits to ensure all vehicles needs/requests are completed.
  • Collaborate and effectively communicate all activities across all internal departments, and external agencies

We are looking for someone with:

  • 2+ years of administrative assistance experience, marketing experience preferred
  • Experience managing budgets within SAP, Excel, and Smart Sheets preferred
  • Automotive industry experience preferred but not required

 Pay is up to $25/hr. Position is long-term temp 6 – 12 months, offering a foot in the door of a company with lots of opportunity and is notorious for hiring our top talent.  Hours are full time M-F from 8am – 5pm. Position will be remote until the company returns back to work. At that time, you may be required to work hybrid or full time onsite out of the Fountain Valley, CA facility and therefore local candidates are a must.
