Job Description

Immediately looking for a Contract AP Manager for a client of ours located in Petaluma, however this role is remote at the moment until they return to the office. 

SUMMARY

Manages and coordinates activities and operations of accounts payable department and staff. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Manage accurate and timely processing of monthly accounts payable expenditures including but not limited to, document review, vendor set-up and maintenance, invoice processing, petty cash reimbursements, and check generation and distribution for our multi-currency operations.
  • Ensure accurate coding of expenditures and enhance communication of appropriate categorization and workflow
  • Manage purchase orders, return to vendors and uninvoiced receipt processes
  • Manage and coordinate monthly A/P closing per company deadlines, including appropriate accruals, account reconciliations and analysis.
  • Monitor employee expense reporting tool and provide support to users.
  • Oversee preparation of all A/P related schedules requested by internal and external auditors.
  • Ensure compliance with applicable state, federal, and international regulations and reporting requirements such as 1099 reporting.
  • Ensure that adequate internal controls and payment policies are communicated and adhered to in all payable processes.
  • Develop, modify, and implement efficient and effective accounts payable processes, policies, and procedures.
  • Supervise and develop staff.  Provide daily guidance, resolve issues, identify and communicate priorities, enhance time management skills and ensure appropriate training.
  • Enhance A/P department performance measurements and quality controls.
  • Provide excellent customer service to suppliers and employees by resolving questions and issues quickly and accurately.
  • Act as resident expert and participate in technological system changes to enhance efficiency and business requirements.
  • Perform other duties as assigned by manager.

EDUCATION

A bachelor’s degree from a university with an accounting major

EXPERIENCE

At least 4 years experience in a high volume accounts payable management position, with a food or manufacturing and international operations experience preferred.

  • Excellent written and verbal communication skills.
  • Proficient in Mid to Top tier ERP system
  • Acute attention to detail.
  • Good judgment with the ability to make timely and sound decisions
  • Working knowledge of data collection, data analysis, evaluation, and scientific method.
  • Ability to work with all levels of management.
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
