Job Description

The Concierge/Administrative Assistant II assumes a pivotal role in all logistical operations relating directly and indirectly to overall guest/employee satisfaction and ultimate success of Boston City Hub, our North America Headquarters. 
• Work as part of the Hub operations team to consistently provide the highest possible standard of guest service, creating a sensory journey for guests. 

• Greet and provide an efficient and pleasant welcome to all visitors, customers, partners, new employees, etc.

• Candidate will assist in overseeing numerous aspects of managing the facility, including: managing vendors, work orders, administrative tasks, invoicing, etc. We are seeking someone with outstanding customer service skills who will promote excellence within themselves, their staff, and throughout the community in a professional manner in and out the office. 

• Responsible for day-to-day operations of the office, such as managing building office key cards, submitting work order requests and resolving any building issues, coordinating with building management and security. 

• Calendar management, travel coordination, expense reporting, and various projects. 

• Monitoring Concierge inbox, prioritizing emails and drafting responses and solutions in a timely professional manner with resolution. 

• Execute office-related requests such as office upkeep, greeting guests, answering phones, processing lunch and grocery orders, processing incoming and outgoing mail, and managing conference room reservations and guest, employees and visitors.   

• Coordinating company meetings,company events including equipment set-up, dial-in, and meeting minutes.

• Support the Finance department with ordering processes and other activities as needed 

• Maintaining strict confidentiality on all matters related to the company. 

• Issues and manages access control cards for employees, visitors, contractors and vendors. 

• Update digital signage system as needed.


Education requirement:

• High School diploma or GED required; associates or bachelor’s degree, or making progress toward degree desired.

• Minimum 2-4 years relevant work experience required in similar roles.

 • Excellent verbal and written communication skills.

 • Proficient in Microsoft Office programs including but not limited to, Word, Excel and PowerPoint. 

• Knowledge of Box, yammer and Magic, Concur + 

• Strong organizational skills and demonstrate ability to provide a high level of customer satisfaction.

 • Full-time availability required; Monday-Friday 7AM-4PM and or 9AM-6PM schedule to alternate. 

• Professional demeanor, strong interpersonal skills and ability to possess attention to detail in a fast paced environment.

• Strong interpersonal skills and organizational skills a must.
