Job Title: Admin Support Specialist

Position Status: Non-Exempt


Job Summary:
The Specialist is responsible for meeting weekly deadlines for timely verification and approval of correct order entry data for new or changed orders. Efficient time management, problem solving and a focus on quality is critical in this role.
Essential Duties and Responsibilities:
• Ensure accurate processing of new/change orders by verifying order/placement information is correct for volume of orders assigned
• Use effective time management to ensure all orders are approved or escalated in a timely manner for resolution prior to weekly payroll deadline; follow timeline provided by Supervisor
• Ability to arrive to work at a specified time; attendance is an essential function of the job
• Use up-to-date resources to confirm order information; update internal account file documentation
• Provide excellent customer service and facilitate Volt operational excellence; work with branches/program teams to resolve issues quickly; support the policies, procedures and quality standards of the Company
• Identify trends, recurring issues and potential process improvements and bring to Department Management attention
• Perform special assignments/complete projects as requested

Position Qualifications – Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
• 1-2 years office experience (such as customer service, office administration account coordination and/or purchasing clerk)
• High-volume data entry; 10-key
• Microsoft Office is essential with 1-2 years experience in Outlook, Word and Excel
• Basic mathematics skills are a must; ability to explain mathematics used to calculate prices
• College degree or applicable coursework is a plus
• Ability to communicate clearly and effectively verbally and in writing

Knowledge & Skills:
• High-volume, accurate order review & approval; 10-key
• Strong attention to detail; ability to accomplish multiple tasks with accuracy, identify errors, and attention to detail while meeting deadlines
• Good analytical and problem-solving skills
• Ability to maintain confidentiality of sensitive information
• Effective written and verbal communication skills
• Knowledge of order entry systems, electronic procurement systems and/or other web-based systems are a plus
