Job Description

The Administrative Assistant / Receptionist reports to the Administrative Assistant Lead.  The Administrative Assistant / Receptionist is responsible for operating the switchboard and greeting visitors at our clients Administrative offices.  Duties include providing professional level customer service by pleasantly greeting callers and visitors, answering questions, directing callers and visitors to appropriate locations, and attending to the needs of a diverse customer base in a sensitive manner. Also provides clerical support as directed.

ESSENTIAL FUNCTIONS – Essential functions may include, but are not limited, to the following:

  • Maintains high caliber of Confidentiality
  • Conducts self in an appropriate manner as a representative of our client, working effectively in a diverse work environment and assuring professional quality of services to all external and internal customers.
  • Answers all incoming call through main switchboard, receives and screens visitors, takes and relays inquiries and messages, evaluates informational needs of callers, and directs to appropriate staff; directs visitors to appropriate areas for scheduled appointments or meetings
  • Meet and greets visitors, answers questions, directs visitors to appropriate locations in a professional manner.
  • Receives and records delivery of parcels and letters sent to the reception desk, acknowledges receipt, and contacts appropriate person for whom parcels and letters are sent.
  • Maintains an orderly and efficient workstation and a friendly and pleasant atmosphere, in person and by telephone.
  • Orders office supplies and facilitates copy machine maintenance as needed.
  • Performs various clerical support tasks and duties as directed by Office Administrator.
  • Opens and routes mail to appropriate staff member.
  • Provide administrative support to include critical and time-sensitive documentation; provide assistance to Office Administrator; including other staff members.
  • Distributes employment applications for posted positions and directs all questions regarding posted positions to the appropriate human resources staff member.
  • Performs other duties as assigned.

QUALIFICATIONS:   The following are the minimum qualifications, in order to successfully perform the duties and responsibilities of this position:

Education and Experience

  • Bachelor’s degree from an accredited college or university, with major course work in business administration, public administration or a related field OR any combination of education and experience to fulfill the duties of the position.
  • One (1) to Five Years (5) years of verifiable experience in administrative support and office clerical experience involving frequent public contact.
  • Public Agency experience is preferred.
  • Bi-lingual in Spanish preferred, but not required.
  • Skills, Abilities and Qualifications:
  • Excellent customer service skills and etiquette
  • Ability to type 30 to 35 WPM
  • Basic Arithmetic
  • Ability to maintain and present self in a professional appearance and demeanor in general everyday setting and in stressful situations
  • Knowledge of proper business English usage including spelling, and grammar
  • Ability to maintain accurate records and files
  • Ability to research and compile data and good analytical skills
  • Ability to prepare reports and presentations if needed
  • Ability to communicate effectively both orally and in writing in an office environment
  • Ability to establish and maintain effective working relationships with those contacted in the course of work, using principles of excellent customer service
  • Knowledge of modern office principles and practices
  • Knowledge of personal computers and current office software programs (Excel, Word, PowerPoint, Access, Outlook) for creating letters, email, spreadsheets and databases
  • Possession of a valid class C driver license and a good driving record.

Compensation: $14 to $15 per hour, DOE
