Job Description

Volt Workforce Solutions is currently looking for an Administrative Assistant/Receptionist for a for a leading investment firm located in downtown Boise!

Job Summary

Provides front office phone and visitor reception. Responsible for cost-effective, efficient Office Management. Confidential support to Chairman/CEO with oversight and guidance from HR Administrator/EA. Confidential support to HR Administrator /EA. Provides administrative support to multiple company divisions, departments and general office assistance.

Key Job Responsibilities

Office Reception                                                                                                              Time Allocation:  30%

  • Route incoming calls and messages to internal clients ensuring full and complete information to both parties.
  • Screen visitors to corporate office, greet clients and customers and advise appropriate associates.
  • General administrative support for various divisions and departments, including President and CFO.
  • Conference room scheduling and lunch meeting coordination.
  • Coordination and tracking of parking validation program.
  • Coordination of weekly reception floral arrangements.
  • Open and close office – load/unload dishwasher, stocking kitchen with supplies, visitor and Chairman/CEO beverage supply and maintenance.
  • Process incoming mail.
  • Manage and order office and kitchen supplies.
  • Special projects as assigned.

Office Manager                                                                                                Time Allocation: 20%

  • Responsible for cost effective procurement and use of office resources
  • Fixed assets
  • Inventory
  • Office supplies
  • Manage 3rd party vendors providing corporate services to all divisions such as (Shredding, Plants, Mailing/Shipping, Smart Snacks).
  • Achieves financial objectives by preparing annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Conduct periodic RFP’s to ensure most cost-effective vendors.

Administrative Support – OCI Chairman/CEO                                      Time Allocation:  30%

  • Manage meeting coordination & facilitation of logistics (internal/external).
  • Coordinate calendar maintenance.
  • Schedule meetings.
  • Project assistance (e.g., internal corporate projects; external - civic activity, event support and coordination) managed by HR Administrator/EA.
  • Word processing correspondence and dictation.
  • Coordinate travel arrangements:  air, hotel and ground transportation. Responsible for itineraries and trip file maintenance.
  • Look for ways to improve productivity efficiencies from OCI, ODC standpoint.
  • Provide personal assistance as needed.

Administrative Support – HR                                                                      Time Allocation:  20%

  • Administrative support for recruiting (including background checks, resume tracking, correspondence with candidates, setting appointments for interviews).
  • Support of new associate onboarding/exit process (including new hire/termination check lists and orientation process).
  • Assist with scheduling: meetings, appointments and training sessions
  • Support with execution of Company/Corporate programs and events.

Physical Demands

This is largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Other lifting may include the ability to lift-up-to 40 lbs.

Minimum Qualifications

  • Minimum of 5 years’ experience as a receptionist and/or administrative assistant in a corporate environment.
  • Advanced proficiency with multi-line, multi-division, telephone system.
  • Over the top customer service skills.
  • High level of professional decorum.
  • Superior organizational skills and experience meeting deadlines.
  • Able to juggle many assignments with high level of accuracy, follow-through and detail-orientation.
  • Ability to maintain confidentiality a must.
  • Intermediate proficiency in MS Office Suite.

Able to work a 7:45am - 5:15pm schedule. Monday – Friday
