Administrative Assistant

$20 Hourly

M-F Full Time

8am-5pm

4-5 months- Temporary Assignment

Downtown, Portland

Job Purpose:

Provide complex administrative support to department, department manager and corporate officer.

Job Functions:

  • Contribute to the company''s success through excellent customer service and meeting or exceeding performance objectives for the following major job functions.
  • Type, edit and proofread letters, memos, reports, presentation materials, and correspondence.
  • Receive and prioritize incoming correspondence and phone calls. Respond to inquiries, including responding to routine requests for materials and information. May maintain confidential department records and files.
  • Make travel arrangements, prepare agendas and appointment schedules and special event planning and coordinating.
  • Prepare complex trends, status or other reports, drawing data from a variety of sources within and outside the department.
  • Compile, coordinate and prepare required departmental reports.
  • May assist in the formulation of department budget, tracking actual to planned expenses and report variances, coordinate budget results with management. May prepare and issue cost allocation and charge back information to Corporate Accounting.
  • May write, design, format, test and maintain department we site utilizing a variety of web-authoring, graphics and multi-media software applications.
  • Participate in special projects as assigned.

Demonstrated Skills:

  • Excellent Customer Service Skills
  • Strong communication both verbally and written
  • Detail Oriented
  • Advanced knowledge of: MS office Suite including word processing, spreadsheet and presentation applications; event/meeting agendas, scheduling and coordination; travel coordination, confidential records maintenance
  • Basic Accounting Knowledge

Education:

  • Associates degree with additional college coursework or Bachelor’s degree.

Experience:

  • Three years of advanced administrative experience which provides the required knowledge, skills and abilities, or the equivalent combination of education and/or relevant experience.
