Administrative Assistant Position Summary:

We are seeking a well-qualified individual to assist with our client's work flow support, data input, project tracking and administrative support using a wide variety of custom and off the shelf software tools including but not limited to; Excel, Word, Adobe, Teams, OneNote, Outlook, other MS office suite products, Oracle, Maximo etc.

Job Duties:

  • Provide an extraordinary commitment to internal and external customer satisfaction. 
  • Promote a high level of customer satisfaction through assistance in processing joint use requests, tracking joint use projects, invoicing, payment tracking, contract compliance and regulatory metrics. 
  • Answer inquiries concerning project status, construction scheduling concerns, billing, general questions and resolving customer concerns.
  • Create construction work order packets and request using internal software systems such as; Maximo, CC&B, AFM and Designer. Using the same systems to create premises, install meters, and initiate electric billing.  
  • Complete paperwork and ensure proper entry into their system of record.
  • Generate reports, provide data to other departments including; Stores, Engineering, Finance, and Utility Accounting.
  • Other duties as assigned and/or required.

Minimum Requirements

  • Demonstrated ability to plan, organize and coordinate multiple projects and to work effectively with a dynamic and diverse group.
  • Advanced computer skills (MS Office Suite) and experience working with Oracle or other financial systems. 
  • Must have creative problem solving skills and the ability to prioritize and focus on critical tasks.
  • Bachelor’s degree in Business or related field preferred.
  • Other combinations of education/experience may be considered.
  • Experience with budget tracking and analysis.
  • Ability to work as part of a team
  • Work remotely or at home office
