Overall responsibilities: 

Using Excel, UPS, and an online retailer portal, take the lead on reconciling invoices and shipments visible within the system and errors displayed to coordinate follow-up through either supply chain or accounting. Document and provide status, research shipment tracking numbers, identify patterns and trouble-shoot with the team to resolve payment processing with the retailer.

  • Other responsibilities:
    • Carrying the project forward, looking for support in researching short payments, deductions when payment is received against invoices. Requires ability to login to the web portals, navigate to back-up documents, track in a spreadsheet, highlight discrepancies, and communicate with external accounting teams to request follow-up and dispute errors.
    • Tracking throughout the week of UPS shipments to our retail customers to flag exceptions (delays, lost in transit, never shipped), research root cause and communicate
    • Manage the completion of new sales account paperwork to support set-up in our financial systems
    • Coordinate trade show materials to be printed, shipped, returned; manage trade show registration and deadlines (typically 6 – 8 shows annually)
    • Answering the main phone line, greeting guests, tracking office supply inventory, coordinating office orders/travel/catering
    • Supporting packing of sample kits, mailing, tracking and providing updates  

Education and requirements: 

High school diploma/GED

Experience of 2-3 years in an office setting

Experience working in a small team environment

Basic Microsoft Office computer skills 

Multi-phone line experience is a MUST

Customer service experience a MUST
