We are currently looking for a driven Event/Conference Coordinator to join one of the largest Professional Association in Southern California.   

Position Summary: Under the supervision of the Programs Manager, the main focus of the job will be to support the Programs Department with an annual California Conference (a 4-day educational conference and tradeshow), the individual will be responsible for:

Supporting all pre-event planning activities including but not limited to:

  • Speaker management: contacting all speakers to ensure timelines are met
  • Volunteer coordination: assisting with the training and onsite schedule
  • Administrative logistics: answering questions that attendees, volunteers, and speakers may have in regard to their responsibilities
  • Assisting the programs coordinator with pre-event registrations
  • On-site coordination: supporting onsite logistics as needed
  • Provide support as needed for Membership, Marketing, and Business Development departments

Qualifications and Requirements

  • Exceptional presentation, written, and verbal skills
  • Proficiency in MS programs (Excel, PowerPoint and Word)
  • Must be punctual and dependable with own car and provide proof of insurance
  • Highly motivated with a positive attitude and an outgoing personality and a professional demeanor, especially on the phone
  • Ability to work independently, multitask, and take accountability of one’s work but also understand when to seek advice or consultation
  • Ability to work long and flexible hours during the week including some weekends as needed for the event, as well as meet the physical demands needed for event setup and tear down
  • Meeting planning interest preferred (i.e. meetings, conferences, and fundraisers as opposed to weddings, parties, etc.)   

The employment length extends from June 2019 through the beginning of September 2019. Approximately 20-25 hours per week during the hours of 8:30 am - 3 pm, Monday-Thursday. Longer hours may be necessary closer to conference dates. Overnight stay of 1 day may be required.
