Job Description

We are looking for a Contracts Administrator to ensure contracts are appropriately received, logged, distributed, tracked and filed, and to oversee payment processes for the film and TV division.
  • Set up contracts in the Contract Request Form system, and facilitate the Contract and AP processes including: 
    • Monitor contracts from development through execution
    • Vendor setup/maintenance
    • PO setup
    • AP invoicing, receiving, payment
    • Prepare submission of request for payment for production payroll, collect and review time cards, and liaise with production payroll company
    • Prepare, route and submit the WGA weekly work list
    • Track options, develop steps and payments
    • Track and submit contracts and other documentation to various guilds/unions
  • Track contracts in a database, prepare files and distribute agreements
  • Respond to contract request submits regarding the status of their requests and numerous internal inquiries relating to ongoing administrative and contract issues
  • Prepare daily contract assignment spreadsheets; assign contracts to legal reviewers and timely provide them with files
  • Maintain hard copy files, scanned images, and database records
  • Some filing duties, including reconciling files
  • Assist with various projects as needed by supervising attorneys, including searching historical archives
  • Coordinate contract signature process and close out completed contracts
  • Minimum 2 years experience in contract administration for a film or television company.
  • Knowledge of contracts, legal agreement databases and intellectual property coordination
  • Proficiency with current MS Office applications (Work, Excel, Access, Outlook)
  • Strong database knowledge
  • Professional and effective written and verbal communication skills
  • Strong time management and organization skills
  • Capable of managing multiple tasks and working well under pressure
  • Must be a self-starter, resourceful and able to participate in a highly collaborative, team-oriented work environment
  • Some college experience or degree preferred
  • Must be flexible and able to change priorities based on the priorities of the department
