The Corporate Meetings & Events Specialist will plan and execute meetings and events for the Professional Education department. Events include educational training programs for medical professionals that take place in either a lab or hotel.

Job Duties

  • Work with Professional Education team to determine annual schedule of events
  • Source venue sites and other meeting spaces to support overall program
  • Maintain event timeline and ensure all action items and deadlines are met
  • Coordinate all logistics in association with a meeting or event including housing block, food & beverage, audiovisual equipment coordination, staff scheduling, Cvent registration and attendee badging, meeting space specifications, offsite events and preparation of pre-event communications
  • Work closely with all external vendors and manage their work flow and event deliverables
  • Work collaboratively with official corporate travel company in accordance with policy and procedure
  • Maintain complete fluency and understanding of corporate travel and spend policies and external regulatory guidelines like the Sunshine Act
  • Prepare, manage, and monitor budgets

Requirements

  • Bachelor’s degree in Marketing, Public Relations, Journalism, Advertising, Communications, English or equivalent preferred
  • 3-5 years of progressively more responsible work experience in the field of conventions and event planning preferred in the industry of medical device, pharmaceutical, healthcare, or IT
  • Track record of delivering measurable and engaging exhibit booth experiences
  • Experience managing a budget encompassing multiple vendors, budget centers, and payment terms
  • Experience working with a global brand
  • Proficiency with MS Office software and experience with Cvent and lead management tools
  • Ability to travel approximately 50%
