Description/Comment:Pay rate is $17 and assignment is 4 months.

Summary: This position provides administrative and office support to the district branch operations group, and ensures efficient day-to-day operation within the office. Responsible for handling confidential matters and issues with the highest level of discretion and decorum. Serves as the first point of contact for customers, business officials, and visitors to the local office. Is responsible for Service financial and operational tasks including documentation, material requisition, job costing, status monitoring, invoicing, and administrative closeout of service activities. This position is required to closely interact with the Area Service Manager and assigned service staff to ensure the timely and accurate completion of tasks. Principal Responsibilities: 1. Responsible for responding to, transferring, and directing incoming calls to the appropriate persons and/or departments. 2. Responsible for greeting clients, suppliers, and visitors to the local office in a professional, friendly manner. 3. Responsible for coordination of on-site conference logistics, including meeting/event scheduling, presentation material compilation, audio visual requirements, and guest refreshments. Serve as meeting note/minute taker as needed. 4. Ensures efficient operations of equipment by completing preventative maintenance requirements, coordinating facility repair calls, and maintaining office supply inventory. 5. Responsible for coordinating travel arrangements, booking confirmation, expense/check disbursement, and management of petty cash systems. 6. Responsible for phone directory maintenance and compiling monthly branch reports. 7. Responsible for providing back up support to internal departments as needed. This position is also responsible for building strong working relationships within the office environment/branch operations group to support achievement of operational objectives and position demands. 8. Additional responsibilities as assigned. 9. Supports business leaders through the creation and interpretation of financial and operations reports. 10. Collects, validates, inputs, and reconciles cost data into system applications. 11. Responsible for receiving and reconciling purchase orders. 12. Ensures material and labor costs are posted to correct work order in a timely manner. 13. Coordinates payroll activities for Service in the district and ensure technicians post their time on a daily basis. 14. Reviews billing backlog and coordinates/communicates with Fulfillment Leaders, Field Technicians, other Service Leaders, customers, and process warranty claims as necessary to resolve obstacles. 15. Research and resolve invoice disputes. 16. Sets-up service agreements in system application based on transition documents. 17. Perform the invoicing process for internal and customer applications. 18. Performs general administrative functions to support the Service processes and Service Department.
