Customer Service Representative

Santa Rosa, CA M-F 8am-5pm

Volt Workforce Solutions has an opening for a Customer Service position for a large client based in Santa Rosa, CA. You will be responsible for order entry, data verification, A/R invoicing, and customer contact.

Key Responsibilities:

  • Order Entry-Enter all new orders into IQ daily.
  • Complete Purchase Order review, Enter Sales Order, Distribute Workflow.
  • Confirm and log order confirmations.
  • Regular attendance.
  • Accounting Duties as assigned.

Other Position Duties:

  • Order Entry – Enter all new orders into IQ daily
  • Verify Pricing and terms
  • Order Confirmations
  • When Workflow is complete, enter in the log
  • Print Order Acknowledgement
  • Fax, or scan and e-mail confirmations to customer
  • Order Closure
  • Review A/R invoices daily; close orders that are complete in IQ.
  • File invoices in A/R filing cabinet
  • Type engineering labels and file
  • Type quotes-scan, fax or e-mail to customer
  • Monitor Shipping Pick List daily with shipping department. Monitor delivery dates to eliminate late orders. Notify customer in advance when their order will be late.
  • Scan closed work orders into IQ library
  • If the customer is requesting a pull-in, send out emergency expedite email to Purchasing and Scheduling ONLY.
  • If they are requesting cancellation or push-out, review with Plant Manager, Customer Service Manager, Purchasing and Scheduling
  • Responsible for leading customer conference calls and relating the outcome to the appropriate departments.
  • Attend Customer conference calls as needed
  • Present for daily Pulse
  • Monthly: Review orders in IQ to ensure that all purchase orders are open
  • Notify Customer Service Manager of Contract review turn-around time for the current month
  • Attend monthly Customer Service Meeting
  • Trend Customer Feedback Log
  • Internal Auditor
  • Main Line phone support

Requirements:

  • High School Diploma or equivalent required.
  • Good communication and presentation skills and ability to work well with others.
  • The ability to work with minimal supervision.
  • Experience using the following computer software: Excel, Data Base Software including Access and Microsoft Office Products.
  • Ability to write, speak and read English.
  • Must be on time to all shifts, breaks, and lunches, attendance is vital

Physical Requirements:

  • Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. 
  • Ability to work for extended periods sitting and looking at computer while completing repetitive motions to include substantial movements (motions) of the wrists, hands, and/or fingers.
  • Close visual acuity to perform an activity such as preparing and analyzing data and figures; reviewing detailed information; viewing a computer terminal; and expansive reading.
  • The ability to manage a number of projects at one time with frequent interruptions and tight deadlines.
