Job Description

VOLT’s client is looking for a Customer Service Representative.

This is a direct hire position in Spokane, WA. This is offered through Volt Workforce Solutions. We are among the largest IT staffing companies in the US for contract/temporary and direct hire placements and support many of the top-rated IT companies in the US!

Description:

Perform proactive service trip follow up calls regarding current field commissioning, AMS and reactive service trips with customers to ensure continued satisfaction with machinery performance. Estimate, plan and coordinate activities for designated commissioning; proactive and reactive field service projects from customer contact and/or receipt of PO through field startup. Ensure that goals and objectives of the field installations are accomplished within prescribed time frame and respond to customer request in an expeditious and professional manner. Enter all necessary and pertinent information in ERP system consistently and conduct close out calls on a regular basis, as needed, for reactive calls. Maintain service schedule for all resources and communicate effectively, consistently and clearly to leadership on schedule updates and any escalating issues.   

Duties:

  1. 30% -- Perform outbound calls to follow up on services recently delivered and regularly contact key account representatives to promote customer satisfaction and retention. Review all customer surveys, communicate findings to leadership and marketing and follow up to ensure all issues are resolved to the customer’s satisfaction.
  2. 30% -- Ensure service schedule is complete, up to date and accurate and communicate schedule to team/leadership effectively and clearly on a weekly bases. Answer inbound customer service calls and respond to customer requests expeditiously and professional. Communicate order progress to customers.  Follow order progress through to completion. 
  3. 20% -- Prepare quotes and process orders for new machine commissioning, after market machine upgrade and refurbishments, reactive machine service requests. Coordinate with internal and external customers regarding the scheduling, scope, documentation and contractual requirements of service orders to ensure clear definition for a successful customer experience. 
  4. 20% -- Perform additional customer service clerical duties including travel arrangements and dispatching, service invoicing, review and authorize trip reports, review parts requests and appropriately file service reports and supporting data. Back up receptionists as needed (typically a few times per month).  

Skills & Experience:

  • Demonstrated ability to successfully manage assigned project.
  • Demonstrated ability to provide sound judgment and the ability to lead and organize cross-functional meetings and people in a professional manner.
  • Excellent and effective verbal and written communications skills, dynamic telephone etiquette, superior customer retention skills.
  • Demonstrated ability to show empathy and listen to customer feedback so we can improve our overall customer experience
  • Excellent organizational, multi-tasking, presentational and problem- solving skills.
  • Detail oriented, accurate proofreading skills, good basic math skills
  • Skilled in Microsoft Office Suite, ERP systems (Epicor Preferred), and CRM systems.
  • Bachelor’s Degree in Business or related field of study
  • Minimum 3 year’s formal customer service and complaint resolution experience in a fast paced environment
  • Proven ability to direct/coordinate technical resources and manage internal business process.
  • Aggressive, persuasive and creative problem solving skills.
