Job Description

VOLT is hiring an AWESOME half admin (heavy travel and expenses) and half HR Coordinator with a of min 2-year experience in HR in Sunnyvale, CA


Responsible for providing analytical and specialized administrative support to relieve and assist the President & CEO of complex details and advanced administrative duties.  Heavy calendaring and domestic and international travel.  Provides Human Resources Coordinator assistance to the HR Director in all areas of HR, to include HR operations, reporting, processing payments, invoices, helping new hires on-board, job posting, interviews scheduling, and assisting employees with their needs, as needed.  Coordinates activities between departments and outside parties.  Contacts company personnel at all organizational levels to gather information and prepare documents, presentations, and reports.  Work is confidential. 


  • Provide project and administrative support to the North America Executive Staff, President & CEO, the Executive Staff and Human Resources Director.
  • Handle highly confidential information
  • Provide heavy assistance with travel, both domestic and international as well as managing heavy loads of expense reports from the aforementioned trips
  • Assists employees with their immediate HR needs
  • Provides HR reports, helps with data entry, processes invoice payments, job postings, interview scheduling
  • Helps new hires with on-boarding, I-9 process, background checks data entry,
  • Maintains calendar/appointment scheduling, arrange and schedule conference calls and meetings in and out of the office both domestic and international
  • Provide support for meetings, workshops and seminars, as needed
  • Develop and maintain hard copy and electronic filing system
  • Gather and manage deliverables and important project information which may include creation and production of presentation materials and special projects
  • Act as liaison with senior management and other senior leaders, both domestically and internationally
  • Respond to requests for information via phone or electronic mail
  • Help ensure that the office space is presentable and professional in appearance
  • Arrange and distribute courier packages, FedEx packages, intra- and inter-office mail
  • Perform other duties as assigned


  • A BS Degree and 7+ years of experience supporting a senior level leader in a similar professional environment and 2+ years as HR Coordinator
  • Must be able to work in a fast moving environment and coordinate both U.S. and International tasks
  • Experience in and demonstrated ability to coordinate multiple tasks; meeting deadlines, initiative and follow through
  • Must be able to juggle priorities
  • Ability to anticipate needs beyond general completion of assigned tasks
  • Ability to exercise considerable discretion and independent judgment
  • Strong competency with Microsoft Office - Word, Excel, PowerPoint, Access, Outlook and Internet search engines
  • Demonstrated excellent written and verbal communication skills
  • Must be detail oriented and very organized
  • Must be able to prepare reports, presentations, charts and spreadsheets
  • Mature, professional, team-oriented attitude
  • Able to locate and link to other OSRAM OS resources, as needed
  • Willingness to learn new skills needed to support assignments
  • Although significant overtime is not required for this position, flexibility with respect to hours is required, based on business needs
