Executive Assistant/Invoice Management Specialist

Start Date: ASAP

Pay rate: $25-30/hr DOE

Contract assignment 6 months or more! 

JOB SUMMARY

We are looking for an experienced, reliable, analytical and multi- task-oriented individual to support the invoicing process management and executive administrative needs of the VP, Brand, Marketing and Communications. This person is a bright, high-energy individual, with a passion to learn and contribute. Strong attention to detail, accuracy, confidentiality and ability to meet deadlines is a must. This person will work closely with procurement, accounting, marketing, communications, and account management colleagues, along with a range of advertising agency and vendor partners on a variety of invoicing and budget tracking projects, team events and special assignments. The ideal candidate possesses mature judgement in tackling initiatives with minimal direction while maintaining confidentially in their work.

PRIMARY RESPONSIBILITIES OF ALL LEVELS

  • Performs advanced invoicing management, vendor payment tracking, and budget tracking process for Brand, Marketing and Communications team
  • Performs advanced secretarial, clerical, and administrative duties.
  • Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company products, policies, and programs.
  • Assembles and analyzes information, prepares reports, manuals, agendas, correspondence, and memorandums.
  • Answers mail and inquiries on own initiative, follows-up with other departments to ensure that requests are carried out.
  • Coordinates activities across departments.
  • Arranges and makes notifications of appointments and travel reservations/arrangements.
  • Answers telephone calls, handles inquiries and/or transfers calls to appropriate party.
  • Validates and processes expense reports.
  • Prepares materials in final form from rough and involved drafts which may utilize frequent use of technical terminology and combine materials from several sources.
  • Plans layout of complex reports and statistical tables.
  • Performs other duties and responsibilities as assigned.

QUALIFICATIONS

  • Experience working with Procurement on tracking statements-of-work and purchase orders
  • Minimum 3 years experience on executive admin support to a corporate VP or above
  • Experience with Workday or other similar enterprise finance and HR platform for invoice processing, accounts payable tracking and budget tracking
  • Experience with MS Excel for budget tracking, and other MS Office 365 products
  • Advanced computer skills and proficiency with Microsoft Office products (Excel, PowerPoint, Outlook, Teams, Word, SharePoint,) and the ability to learn new software applications to successfully complete projects and activities.
  • Strong written and verbal communication skills
  • Knowledge of business math and accounting practices
  • Knowledge of English grammar, spelling, and punctuation
  • Knowledge of modern office practices, terminology, procedures and equipment
