Job Description

An exciting DIRECT HIRE opportunity with a world leading electronics manufacturer supporting a VP and the Business Systems team.

• Coordinate all aspects of the Executives schedule, including domestic and international travel.

• Provide general support to the team, including ideation/organization of engagement activities, visa processing for team travel, new hire on boarding support and help organizing and setting up for large meetings.

• Communicate and coordinate early and clearly with other members of the leadership team and corporate leadership team to effectively plan schedules.

• Anticipate potential schedule conflicts and proactively deal with them before they become issues.

• Serve as gatekeeper of the Executives time, schedules, and information while maintaining a courteous manner. Must be able to maintain complete confidentiality regarding details of schedules and related information.

• Plan, coordinate, and execute meetings/gatherings ranging from several people to 80+ people

• Set-up video conferencing and other media technology as needed.

• Assist meeting attendees with all logistics.

• Understand Executives needs and work to meet them.

• Manage tradeshow booth registrations, booth set up logistics, productions and shipping of corresponding collateral materials, staffing, and event follow up.

• Manage the tradeshow calendar and project timelines

• Provide event planning and support, before and during some tradeshows

• Produce PowerPoint presentations, Word documents, and Excel spreadsheets. Import data from Excel into Word and PowerPoint.

• Maintain files.

• Answer/screen phone calls, monitor email, and sort mail as requested.

• Prepare, summarize, file and distribute weekly, monthly, quarterly and year-end reports.

• Work closely with staff to ensure deadlines are met.

•A Bachelor's degree in Business, Marketing, or equivalent

• 5+ years of relevant experience, previous experience supporting senior executives preferred

• Impeccable accuracy in formatting, spelling, grammar, and proofreading

• Strong skills in Microsoft Outlook, Microsoft Word (including table creation), Excel (including pivot tables) and PowerPoint

• Excellent oral and written communications skill • Ability to travel about 20% of the time
