The Executive Assistant will provide high level support in the Communications function to the Vice President of Communications and the Rosslyn-based Communications Team.   The Executive Assistant will perform a wide variety of administrative tasks within this dynamic organization.  The selected candidate must be detail-oriented, highly accountable, and able to anticipate the needs of the leaders to streamline the workload.  Additionally, the Executive Assistant will need to be an expert in the Microsoft Office Suite.  Responsibilities include but are not limited to:

  • Calendar management
  • Meeting schedules and coordinating with internal and external customers
  • Communications – electronic/phone/greeting visitors
  • Coordinating domestic and complex international travel arrangements and completing expense reports.  An understanding of security processes for international travel.
  • Attending conference calls and meetings (as required); capturing actions and maintaining action list to ensure follow-up.
  • Coordinating materials prior to meetings and ensuring pre-briefs are set up prior to, when appropriate.
  • Operating office machinery and/or personal computers
  • Input and retrieve data from various company systems and applications (e.g. shared RSpace, eRooms, Media Logs, eNews distribution logs)
  • Generating charts, tables, memoranda, reports, correspondence, and other materials with speed and accuracy
  • Interfacing with senior level external and internal customers
  • Coordinate and host customer visits, as well as support visiting executives
  • Status action items, ensuring deadlines are met
  • Coordinate publication of regular reporting
  • Establishing detailed knowledge of the Business Development Leadership Team and Communications Leadership Team members, center locations, and assigned positions.
  • Develop and maintain excellent working relationships and communication channels with other executive assistants
  • Managing and maintaining corporate publications and subscription database
  • Ordering and maintaining office supplies
  • Assisting with onboarding new employees/transfers into communications department; office and computer set-up
  • Working overtime when required            

Required KSAOs

  • A High School diploma required
  • A minimum of six (6) years professional administrative experience with demonstrated experience supporting a senior leader in a large organization
  • Ability to work overtime
  • Demonstrated ability to anticipate requirements/actions
  • Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment
  • Demonstrated experience in planning and coordinating complex international travel
  • Demonstrated experience of effectively interacting with senior levels of leadership
  • Demonstrated experience planning and organizing schedules and events
  • Demonstrated experience with calendar management, meeting scheduling and coordination, preparing/reconciling expense reports, and being able to compile and prepare data reports
  • Demonstrated experience with handling confidential and non-routine information
  • Expert with Microsoft Office Suite tools (MS Word, Power Point, Excel, etc.)
  • Strong interpersonal skills
  • Understanding of on-boarding of new team members
