Volt Workforce Solutions is currently looking for a strong Executive Assistant candidate who will be responsible for performing a variety of administrative duties.  The right candidate will be experienced, reliable and task-oriented.  The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. 

ESSENTIAL RESPONSIBILITIES

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintain an organized filing system of paper and electronic documents.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule meetings and appointments and manage travel itineraries.
  • Arrange events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Uphold a strict level of confidentiality.

ESSENTIAL QUALIFICATIONS, REQUIREMENTS AND SKILLS

  • Minimum of 4 years’ experience as an Executive Assistant reporting directly to senior management.
  • Bachelor’s degree preferred.
  • Advanced Microsoft Office Skills, with an ability to become familiar with firm-specific programs and software.
  • Proficiency in collaboration and delegation of duties.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Excellent writing and reporting skills.
  • Exceptional interpersonal skills.
  • Friendly and professional demeanor.
