Job Description

Volt Workforce Solutions is currently searching for an experienced HR Administrative Assistant for one of our major client’s in Philadelphia, PA.

Position:         HR Administrative Assistant

Hours:            Monday – Friday      8:00 AM – 5:00 PM

Duration:        6 months

Pay Rate:       $20.00 - $25.00/hour

JOB RESPONSIBILITIES:

Provide administrative support to VP HR and HR team based including managing calendar, scheduling meetings, interviews, travel arrangements and process business expense reports

  • Provide assistance in preparing for presentations and reports as needed
  • Support HR projects and processes, i.e. performance management, compensation planning, recruiting, relocation and HR data / system support
  • Provide analytical/reporting support at a local/functional level.
  • Prepare local office HR communications when requested. 
  • Manage organization and storage of employee files.
  • Maintain materials and resources for department (i.e., corporate materials, supplies, calendars, brochures, etc.).
  • Coordinate meetings and conference calls domestically and internationally.  Coordinate and plan business meetings on and off site
  • Support site training activities, including schedule coordination, logistics, invoicing and training files and records maintenance
  • Vendor set – and invoice payment
  • Invest and follow up problems issues i.e. invoices / payments

JOB QUALIFICATIONS:

Education: 

College degree or equivalent experience.

Experience:

  • 1 - 3 years HR administration experience necessary.
  • 5 years of experience in administrative support to senior executives
  • Excellent computer skills in Microsoft Word, Excel and PowerPoint
  • Strong written and verbal communication
  • Familiar with general HR system (ADP), terminology and processes
  • Ability to work independently and in a team
  • Must be strong in follow up, organization and interpersonal skill to deal with all levels of employees
  • Detail, deadline and customer service oriented
  • High level of personal maturity and high ethical standards with proven experience handling highly sensitive information
  • Experience in supporting senior HR leaders and teams
  • Ability to work in fast pace environment and am comfortable with ambiguity
