Job Summary:

The Maintenance Administrator is responsible for planning and coordinating the Maintenance department’s activities ensuring maximum efficiency/effectiveness and regulatory compliance. This includes preparation of preventative maintenance and coordination of corrective and requested maintenance. This position works with the Facilities Engineer and Lead Maintenance Tech to plan and track execution of work.

Essential Duties and Responsibilities

  • Uses established planning tools to plan and track preventative maintenance work
  • Hands out work to maintenance staff for execution and follows up on documentation of completion
  • Follows up with staff on documentation of corrective actions
  • Receives maintenance requests from entire business and coordinates execution with Facilities Engineer and Lead Tech
  • Receives parts and othering ordering requests. Coordinates fulfillment with Facilities Engineer
  • Maintains electronic and hard copy files for maintenance and parts purchasing activities for compliance and continuous improvement
  • Is main point person and implementer for transition to maintenance management database

Continuous Improvement

  • Participate in IFS and customer audits to gain feedback on system for ongoing improvement
  • Participate/attend learning opportunities to stay current in knowledge of relevant technology, best practices and industry norms.
  • Attend events and perform research to optimize equipment and sourcing opportunities.

Required Experience, Knowledge, & Skills


  • AA or equivalent
  • Experience in plant maintenance administration
  • Experience in audits of maintenance systems
  • Strong experience in Excel, Word and database management


  • Strong information management skills including use of Excel and databases
  • Excellent people management skills
  • Excellent critical/creative thinking and problem solving skills (resourcefulness)
  • Ability to organize, track and manage a variety of concurrent activities and projects
  • Ability to work under pressure and meet deadlines

Work Environment
