Job Description

Job Title: Maintenance Coordinator Assistant
City: Santa Barbara
State: California
Job Duration: Temp to hire
Full-Time/Part-Time: Hours are to be from 7:30 AM to approximately 4:30 PM. There will be times during the year that the Maintenance Coordinator Assistant will be required to work overtime.
Schedule: M-F
Pay Rate: $18/HR depending on experience

Duties Include:

  1. Retrieving calls from the previous night left in the maintenance department phone line. Create work orders and return calls to tenants to confirm request were received.
  2. Create and process monthly recurring work orders.
  3. Daily follow-up of all service orders; review for completeness and accuracy; follow-up any discrepancies in time and materials with individual employees.
  4. Create Continuation and end of month work orders as needed.
  5. Answer telephones and address inquiries & requests.
  6. Intake maintenance requests received via the company website and property management software.
  7. Assist with dispatching technicians.
  8. Assist with quality control and client satisfaction by emailing or calling clients after work has been completed.
  9. Cross reference GPS with Itineraries
  10. Communicate with vendors on outstanding work orders and update as needed.
  11. All other duties as required by Maintenance Coordinator


Strong customer service skills, able to handle multiple tasks simultaneously, excellent organization skills, computer data entry, excellent telephone skills (handle people not multiple incoming lines), good verbal skills, ability to communicate information at various levels of comprehension, ability to evaluate a situation and choose the best solution, well-organized mentally and ability to keep surroundings well organized, “can do” attitude, quiet speaking voice and calm manner in the face of many demands, Spanish/English speaking helpful, able to plan ahead and take the initiative when necessary.  Regular and prompt attendance.  Ability to work cooperatively with others.  Professional dress and behavior.
