Job Description

Maintenance coordinator ensures that the maintenance team can successfully execute their respective schedules and work assignments. Also provides support to other departments for purchasing goods and services. Excellent communication and organization skills are a must to be able to support the variety of demands that are required to keep the facility in order. 

  • Manage the purchase of all equipment of maintenance department and support purchases for production and other departments. Always get quotes. Receive and pick up packages from Shipping and Receiving area. Ensure parts are correct and the correct quantity ordered and received. Assist in maintaining parts inventory.
  • Assist in planning and scheduling the maintenance work order workflow of the maintenance team. Maintain the CMMS, create and issue work orders. Assist with creating work instructions and SOP’s. 
  • Adhere to all PPE, GMP, FSQ, and HACCP requirements to achieve food safety standards.
  • Complete 100% of required trainings and assist with training of others (Personal Safety, Food Safety Training, PM’s and SOP’s).
  • Ensure scheduling for the maintenance team is up to date and current. Work with Supervisor and/or Manager to resolve conflicts. Review payroll for all maintenance and distribute pay checks.
  • Record and post visibility data and make required decisions/plans for improvement.
  • Contact and/or meet with vendors, suppliers or contractors as needed for machine services or repairs and facility services, repairs or improvements.
  • Assist in writing up all capital expenditures, justifications and requisitions for the facility.
  • Receive “ink inventory” from label area and order their supplies accordingly.
  • Purchase and program radios for all departments, send in for repairs if needed.
  • Arrange proper disposal of hazardous materials and maintain records per California environmental laws.
  • Match packing lists with invoices, create purchase orders and requisitions to ensure prompt payment with proper accounts.
  • Data entry of all maintenance purchases including purchase date, requestor’s name, lead time, vendor, purchase order number, and budgeting to maintenance account.
  • Assist with forklift purchases/trade-in’s, and scheduling tire and battery replacements.
  • Process internal maintenance requests/Helpdesk requests and issue to the proper Mechanics, complete data entry upon completion of maintenance.
  • Maintain all records pertaining to the maintenance department dating back 3 years
  • Purchase key items for all departments.

Requirements:

  • Advanced computer skills (Microsoft Word, Excel) database skills a plus.
  • Advanced use of CMMS.
  • Excellent organizational skills and detail-oriented.
  • Effective communication skills and ability to follow-up and meet deadlines.
  • Ability to work with little supervision and efficiently manage tasks and time.
  • Minimum 3 yrs. Maintenance purchasing experience.
  • Minimum 3 yrs. Maintenance planning/scheduling experience.
