Volt is now Hiring for a Marketing Coordinator! 

Responsible for supporting the Creative Network St. Paul Team (CNSP) by handling a wide variety of administrative duties and projects as assigned. Applies highly-developed administrative and coordination skills to complete activities. Acts independently on standard procedures and handles non-routine situations and proposes solutions to administrative concerns. Helps in the preparation of budgets, purchase orders, vendor invoice approvals and department time tracking and billing.

Job Duties: 

  • Pull time sheet utilization reports and bill/invoice accordingly for CNSP’s services
  • Manage MLR and project management system licenses and training
  • Manage creative subscriptions and licensing fees (Adobe, Quickbase, etc.)
  • Create department purchase orders; approve invoices and submit for payment to accounts payable
  • Help manage CNSP expense and travel reports
  • Provide backup proofreading support
  • Provide MLR support by uploading marketing documents in MLR system and routing to appropriate reviewers with follow up and resolution
  • Project coordinate/traffic marketing collateral projects through design and creative as assigned
  • Complies with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments.  Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors
  • Performs other related duties and responsibilities, as assigned

Qualifications: 

  • 3-5 years work experience in project coordination and/or as an administrative assistant in a marketing organization.
  • Comprehensive personal computer skills including excellent spreadsheet, word processing and database management capabilities are required
  • Experience working with project management tools and software.
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment.
  • Ability to leverage and/or engage others to accomplish projects.
  • Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization.
  • Strong project management skills and an attention to detail.
  • Ability to manage and direct projects which require autonomy.
  • Multitasks, prioritizes and meets deadlines in timely manner.
  • Strong organizational and follow-up skills, as well as attention to detail.
  • Ability to maintain regular and predictable attendance.

Hours: 8:00am to 5:00pm
