Office Coordinator

General Affairs

CFO

Provide support in multiple office administration roles within HR, General Affairs/Maintenance, and security functions

  • Provide support in planning and execution of Monthly Company Events
  • Take footages of company-related events and create contents to feed company SNS pages
  • Purchase supplies and maintain inventories of company properties including but not limited to: access passes, parking passes, office supplies, general supplies, equipment, mobile/tablet devices and more.
  • Place and keep company properties at the assigned or necessary locations
  • Stock general kitchen supplies and snacks/beverages
  • Identify meal/snacking service vendors and place catering orders as needed
  • Identify maintenance/security vendors and request for work orders as needed
  • Identify and collect housekeeping issues and relay information to necessary parties (building maintenance, HR officers, etc.)
  • Identify safety/sanitation issues and develop improvement plans
  • Take initiatives to improve interior decorations
  • Submit expense approvals pertaining to the assigned job duties
  • Welcome and direct visitors
  • Maintain accurate logs of persons entering/exiting the company premises
  • Issue guest and parking validation passes and keep logs of activities
  • Maintain internal/external access control system up to date and keep accurate inventory of access passes
  • Safe keep and clean reception and commonly occupied areas (conference rooms, cafeteria, rest areas, etc.)
  • At minimum 2 years of office administration experience
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Basic knowledge of MS Office / G-Suite software
  • Working knowledge of office equipment
