Job Description

Great Manufacturing company in Goleta is Hiring Now for a Office Manager to join their amazing team! Position is a Direct Hire opportunity with great benefits. 

Essential Duties and Responsibilities include the following.  

  • Performs a variety of administrative duties in support of all departments in the organization.
  • Assists and supports the President/CEO with administrative tasks as assigned.
  • Manages front desk reception, receives guests, answers phones and directs phone calls, helps prepare for meetings, coordinates for catered lunches, and makes reservations as needed.
  • Helps maintain common spaces, such as conference rooms and eating areas.
  • May serve as the support for Human Resources as needed.
  • Performs a variety of administrative support tasks for Sales and Engineering functions including: organizing bid documents and responding to RFQs, assisting Project Engineers and/or Project Managers with project documentation, assist Document Control with format and release of documentation.
  • Establishes, develops, maintains and updates filing systems; retrieves information from files when needed.
  • Takes incoming phone calls; answers routine questions or takes messages; works with other staff to cover phones.
  • Coordinates and executes on-going and special projects which may include planning and coordinating presentations and events, disseminating information, coordinating direct mailings, creating brochures and other special projects. 
  • Prepares internal reports, memos, charts, tables, graphs, reports, etc; proofreads for spelling, grammar and layout, making appropriate changes; is responsible for the accuracy and clarity of final copy.
  • Performs a variety of fiscal record keeping duties and maintenance of department finances including preparation of purchase requisitions, check requests, travel reimbursement requests, documenting corporate credit card expenses, time cards, etc.
  • Orders equipment and supplies, following established policies and procedures.
  • May assist with the release of technical documents.
  • Coordinates, creates, and/or formats Sales and Engineering documentation for bids or on-going projects

Minimum Qualifications:


High school diploma or equivalent (GED); an AA degree in business administration or additional college-level coursework; BA or BS desired; or a combination of education, training and experience sufficient to demonstrate the ability to satisfactorily perform the essential functions of the job.

Training and Experience:

2-4 years of increasingly responsible administrative or project support experience using current software applications to prepare correspondence, spreadsheets, reports, presentations, brochures and correspondence. 

Knowledge of:

Engineering terminology, project management methodologies, basic understanding of scheduling best practices; basic understanding of ERP or financial management systems, 

operate standard office equipment, including a personal computer; operate standard software applications, including MS Office suite.
