Order Administration Assistant

Southwest Portland

M-F Full Time 

Salary:  DOE

The Order Administration Assistant is the back-office go between sales personnel and other personnel that are responsible for the order processing, production and shipment functions.  This person is responsible for timely and accurate data entry into the company system that supports order processing, production and shipment such that a high level of customer satisfaction is achieved. This role entails interfacing with appropriate company personnel including personnel from sales, estimating, purchasing, production planning and shipping.  This is a growth track role for a self-starter with excellent attention to detail and a team attitude and approach to work.

Tasks include:

  • Review of new and revised customer purchase orders to insure orders are qualified for entry into order management system.  Typical review includes:
    • Determination if order includes non-recurring engineering for revised SKU’s or new SKU’s
    • Quotations for parts that require non-recurring engineering include current drawings such that planning can occur
    • Pricing meets minimum throughput requirement
    • Quotations for previously ordered parts are current
    • Pricing on purchase orders match quotation
    • Requested shipment or dock dates are acceptable
  • Communicate to appropriate personnel each non-conforming item on customer purchase orders.   Track list of non-conforming issues with personnel until customer purchase orders are qualified for input.
  • Enter order data into system accurately and quickly.
  • Monitor and review system output of ship date or any criteria that does not conform to customer purchase order.  Communicate to appropriate sales personnel and production personnel.
  • Enter order confirmation data on customer web sites where customer requires order confirmation be performed on their web site.

Secondary Functions:

  • Manage the completion of customer surveys that customers require.
  • Manage the sales samples inventory to insure that samples are up to date and old samples are obsoleted.

Qualifications:

*Bachelor’s or Associates degree highly preferred; High School Diploma/equivalent required

*Quick learner, with strong technical aptitude

*One year of similar experience with proven success in a technical/industrial role or if just out of school, comparable project work lending to proven abilities to achieve essential functions

*Excellent math, analytical, and detail skills to carry out thought-driven data entry functions

  • Strong computer application aptitude, including foundation of skills with Microsoft Outlook, Word and Excel. Apple Mac, CRM and databases, as well as ability to learn new applications

*Interest in learning intermediate level scheduling, purchasing, and inventory functions within a growth track model

*Must have proven, stellar verbal and written communication skills to interact with all facets of internal customers

*Assertive work style

*Ability to effectively address and work through conflict and stress in accordance with company's conflict resolution policy

*Ability to grasp the strategic purpose for the tactical processes of the role

*Flexible, reliable, dependable worked with strong work ethic

*Team player with a positive and constructive attitude

*Contributor who recognizes and makes suggestions for process improvements
