I am looking to hire a Paralegal III - Legal and Compliance Support Associate for our Client in Oakville, ON for approximately an 11 months' assignment, with the strong possibility of going long-term.

JOB DESCRIPTION:

  • Pay rate: $24.04/hr (T4) + benefits available
  • Length of Assignment: 11 months assignment + extension to a longer term assignment starting from 10/08/2018 to 09/27/2019 and onwards
  • Shift: generally from 8:30am-5pm EST (M-F) 
  • Hours per week (paid): 40hrs ; 8 hrs per day

Purpose:  

  • The successful candidate will be responsible for providing administrative assistance for the Legal department at the Client's office.
  • With little guidance, administers information and data including file set up and data input, distribution of appropriate internal notifications, requisition of checks, and closure and storage of files.
  • Administers approval and payment of invoices including follow-up with vendors on errors and noncompliance with billing requirements.
  • Produces complex reports and responds to inquiries or requests of a complex nature with guidance of higher level Legal Process (LP) Administrators.
  • Prepares and drafts legal research documents
  • Conducts internal document research
  • Interviews Company personnel and drafts responses to discovery requests.
  • Independently writes legal briefs and drafts legal documents.
  • Acts independently and uses extensive legal knowledge obtained through experience to review and analyze legal documents.
  • Reviews pending legislation and analyzes current laws.
  • Independently communicates with external counsel or external contacts to obtain a specific outcome (i.e. negotiate a settlement).
  • Interviews potential witnesses.
  • Directs the search and retrieval of information from electronic and other files, and analyzes collected information for relevancy in responding to discovery requests.
  • Provides direct guidance to lower level Paralegals; may provide direct supervision of subordinate employees and/or team.
  • Other Duties:
    • Researches, analyzes, compiles, and synthesizes information related to various statutes, regulations, and case law.
    • Prepares and drafts legal research documents.
    • Assists attorneys on legal brief writing and drafting of legal documents.
    • Acts as the liaison between attorneys and other department or Business Unit personnel on legal issues.
    • Reviews pending state and federal legislation and analyzes current laws relevant to the business.
    • Identifies key issues and assists in drafting annual legislative priorities.
    • Reviews, proofreads, revises documents to help ensure compliance with applicable laws.

Major Duties:

  • Provides administrative assistance and support to the Legal department.
  • Regulates the content and use of standard form documentation (including independently reviewing and revising documents to ensure compliance with applicable laws).
  • May create and maintain sensitive department records; uses data to prepare letters and memoranda at the direction of attorneys (4 lawyers) and prepares documents for distribution.
  • Independently monitors, reviews, researches, analyses, compiles, synthesizes and reports on various laws, regulations, and case law which impact the business.
  • Primary department contact for records retention matters and coordinates department record retention process.
  • Updates and maintains databases, systems applications or files to ensure accurate and current information is available for use by others.
  • Schedules meetings, coordinates travel arrangements and visas, and maintains appointment calendars on behalf of department managers or supervisors; may coordinate meeting amenities (i.e. refreshments, etc.).

Requirements:

  • Superior attention to detail and accuracy, excellent organizational skills, time management skills, ability to multi-task and prioritize work.
  • Excellent team player.
  • Demonstrated ability to work collaboratively in a fast-paced environment.
  • Excellent writing skills, including grammatical usage, persuasive copy and style.
  • Administrative experience such as scheduling, planning, utilizing desktop load applications such as Microsoft Office, plus intranet and internet functions and ability to use various department specific programs.
  • Prior experience as an Administrative Assistant.
  • Ability to periodically work overtime to meet operational needs.
  • Assets:
    • University Degree or equivalent.
    • Legal Assistant/Law Clerk College Diploma or Certificate or equivalent.
    • Financial services industry experience and/or in-house law department experience
    • Prior experience providing administrative support to multiple professionals
    • Must be able to support the Office Hours of work from Mon-Fri 8:30am-5pm EST
