Job Description

VOLT Workforce Solutions has partnered with a Pharmaceutical located in Hawthorne, NY. They are currently in need of a contract HR Payroll Administrator.  In this role,  you will wear a lot of hats and tasked with several responsibilities – though your main duties will be payroll processing and administration. They are in need of someone who has worked on a few payroll systems that were multi-state processing for Exempt and Non-exempt populations.  Experience with doing “year-end” processing would be helpful too (setting new annual 401K limits, running W-2’s, etc. ). 

Summary of responsibilities:

  • Payroll Processing and Administration: Main responsibility

-Process biweekly payroll for approximately 200 employees; coordinate payroll inputs for each payroll cycle.
-Maintain and ensure the accuracy and organization of payroll records by maintaining payroll database with updates in status changes, tax withholdings, benefit deductions, etc. as well as electronic and paper records in accordance with company policies.
-Maintain a detailed annual payroll calendar of key payroll related tasks.

-Coordinate and process any extra ordinary payrolls including annual merit increases and bonus payments.
-Coordinate the preparation, review and distribution of annual W-2 forms
-Investigate and resolve any payroll tax notices or payroll related inquiries or tax audits
-Ensures compliance with all applicable State and Federal wage and fair laws.

  • HR Reporting and Administration: Generate Payroll BI reports as needed in support of various audits; and for Sr. Management, Finance and legal inquiries and other recurring requests as scheduled.
  • Annual Compliance Reporting : Prepare annual EEO reporting; Affirmative Action records and reporting, VET 100 and OSHA Logs.
  • Benefits Processing : Review and process monthly benefits billing; prepare end of year 1095C Benefits Statements.

Knowledge, Skills/Abilities & Experience needed for this role:

  • Bachelor’s degree preferred.
  • Minimum of 3 to 5 years of payroll processing experience for a multistate employer with multiple locations; Experience with Ultipro preferred.
  • Knowledge of state and federal wage and tax laws and overtime requirements.
  • Familiarity with payroll related benefits administration and deductions.
  • Proven customer service skills with a strong work ethic and character that can be trusted to maintain a confidential work environment.
  • Experience with compliance reporting preferred.
  • Proficient in Excel, Word and Microsoft Office suite.
  • A detail orientated committed team player with dedicated problem-solving skills for process improvements and effective communication.
