Position Description:

Supports department on tasks related to transactional mail projects, print on demand, printed inventory and the apparel storefront. Identifies process improvement opportunities, assists in the development and implementation of reporting needs/metrics and provide analytical support.  Interacts with internal and external customers, management, and business analysts to research business rules, develop business processes, and assist in documenting/mapping future workflow processes.  Provide analytical and consultative support for projects.

       

Position Requirements:

QUALIFICATIONS:  (Minimum qualifications required for the job)

  • Experience: Four years’ mailroom operations experience
  • Education:  High School Diploma or equivalent

Knowledge, Skills and Abilities (KSAs):

Knowledge of:

  • Mailroom operations
  • Operation of a metric driven production environment
  • General purchasing terminology; experience working with external vendors
  • Awareness of PHI, PII and Compliance rules and regulations

ACCOUNTABILITIES:

Supports and works closely with leadership.  Assists in the coordination and monitoring   of new and existing mail projects, completing production and inventory   reports as scheduled.   Ensuring timeliness, accuracy, and quality.  Communicates to   customers any situations which have the potential to delay job completion.   Keeps leadership informed of any problems or delays in   the production schedule, providing alternatives to meeting deadlines as   necessary.

Assists in the   creation and updating of procedures related to all aspect for the   department.  Creates measurement and   reporting capabilities.  Supports   continuous maintenance of the departments SharePoint site.

Identifies process improvement opportunities   to current workflow and develop recommendations for needed improvements.  Coordinate implementation of process   improvement activities and monitor post-implementation to identify continuous   improvement opportunities. 

Monitor inventory levels of envelopes,   specialty printed paper, etc. assist in replenishment orders.

Analyzes monthly summary invoices for   transactional mailings as well as POD and Inventory orders; check for   pricing, quantity accuracy, assign appropriate cost centers where   needed.   Work with leadership to   assure monthly postage allocation is correct and complete in accordance with   the transitional summary invoice.

Identifies opportunities and provide guidance   around projects by documenting the scope, current, and future states of the   business process and requirements.    

Serves as a liaison with project managers for   various projects related Print Fulfillment projects. 

Seek out training opportunities and   efficiencies using technology, applications and development environments.   Pursue other studies, and analysis as needed.    Maintain current knowledge of corporate initiatives and goals.
