Job Description

Volt Workforce Solutions is currently looking for a Procurement Administrative Assistant for a great company in the downtown Boise area.

Duties and Responsibilities

Category Management Support

  • Timely handling of new supplier agreements, program changes, and terminations
  • Processing and distribution of Market Report and other marketing updates
  • Support MarketPlace event process (conference show specials, MarketPlace promotions)
  • Track, follow up and upload show specials for food show and promotional events
  • Track and manage reporting of supplier growth programs
  • Invoiced programs, to include Convenience Store Services:
    • Order entry and customer service support
    • Maintain price pages
  • Data mining
  • Maintain contact information for suppliers
  • Assist Category Management with supplier communications as needed

Accounts Auditor Support

  • Maintain files including annual storage
  • Maintain electronic filing that includes distributor invoices after verification and electronic reports for each Accounts Auditor (Excel pivot table)
  • Data entry: supplier reporting as needed
  • Create distributor lists from CRM (hard copy & electronic versions)
  • Maintain Travel program guide by SKU
  • Maintain and verify process sheets
  • Support Accounting team with all show needs

    General Administrative Support

  • Word processing, formatting, grammar, and proofreading & mail merge documents
  • General copying, faxing, and filing
  • Special projects as needed
  • Back-up administrative staff as needed

    Back-up Corporate Administrative Department

  • Support general receptionist and clerical responsibilities during time out of the office (vacation, sick, training, meetings, etc.)
  • Respond to incoming and internal telephone calls, greet clients and announce to associates
  • Pick-up mail from basement mailroom and distribute to associates
  • Prepare and post daily mail, print end of day UPS report, handle special delivery items
    • Qualifications

  • Bachelor’s degree preferred, some college or Associate degree
  • Intermediate to advanced computer skills: Microsoft Office, Word, Excel, Outlook, PowerPoint
  • Organizational skills, verbal and written communication skills, phone skills, e-mail, fax, etc.
  • Background requirements - foodservice: customer service, marketing, or sales
  • Self-starter and ability to set and achieve goals
  • Ability to maintain confidential information at the highest level of discretion
  • Effective time management skills – ability to complete assigned projects within established timelines and guidelines
  • Solutions-oriented; ability to creatively resolve issues, challenges, or problems
  • High level of organizational skills, accuracy and attention to detail
  • Perform tasks routinely
  • Strong writing and proofreading skills
  • Ability to work independently and as part of a team; Ability to work with high level managers
  • Ability to lift to 40-50 pounds
  • Flexibility in hours available to work
  • Occasional travel may be required

This is a Direct Hire position, Monday-Friday, 8 a.m. – 5:00 p.m.; some overtime may be required periodically.
