Job Description

Volt is looking for a Purchasing Coordinator in beautiful Santa Barbara!

As an Purchasing Coordinator you will be responsible for general sourcing and procurement of goods and services. You will provide user support and completes administration of the Global Requisitioning System (GRS), Contract Management Tracking database (CMT) and American Express programs; completes supplier set up; performs other Purchasing administrative duties. You may also provide general administrative support to the Finance Department and Reception coverage for the Facilities Department.

Major Areas of Responsibility:

  • Purchase goods and services using the Requisition/Purchase Order (PO) system. Provide User support (e.g. research requisition/ PO/payment status). Complete supplier aging PO clean up.  Place special orders requiring additional time to research/contact vendors, etc. Complete purchasing administration duties: filing, archiving records, etc.
  • Contract Management Tracking Database: Review and attach copies of contracts and associated materials.  Update contract records and input key information into the database.
  • Supplier Set Up – Distribute new supplier packages, review/approve new supplier package information and set up supplier in system.
  • American Express: Process new credit card applications; cancel and research fraud/disputed charges. Assist with Purchasing Card (PCard) reconciliation in Amex CAR tool and run reports.
  • Training: Provide training to organization, procure training materials
  • Other duties as assigned: Assist Accounts Payable Department with invoice approval processing and assist the Facilities Department with Receptionist coverage (breaks and lunch).

 Required Knowledge and Experience:

  • High School Diploma
  • 1-2 years of purchasing experience
  • Accounts Payable experience is a plus
  • PBX knowledge, general bookkeeping both a plus
