Job Description

Are you a strong Administrative Assistant looking to join a great company assisting a successful Sales team? 

Our client is a service-oriented export trading company providing domestic and international companies the opportunity to import and export products to new and existing markets and we are looking to add to their dynamic team!

The Sales Corporate Coordinator position reports to the Director of Sales (DOS) and provides support to the Sales Department and all divisions.  Daily activities will include writing, training, enforcing and identifying need for new department Standard Operating Procedure (SOP’s). 

The coordinator will also be responsible for organizing, collecting and reporting on data including, but not limited to department Key Performance Indicators (KPI’s) and Supplier Relationship Management-related sales opportunities. 

All duties performed with a view toward Customer service; identifying how the individual and the department can better serve Customers, both internal and external.  

This individual is the most knowledgeable user of SAP and Company-developed systems pertinent to SOP’s applicable to the Sales & Marketing department. Will be the top process-improvement advisor to the DOS.  This employee is also a liaison between the Sales & Marketing department and other departments.  This employee can troubleshoot problems, fix issues, run reports, create reports and advise on better ways to use SAP to improve efficiencies and reduce redundancies.  This employee works cross-departmentally and understands the importance of cross-functional collaboration and communication.  This employee has the foresight to correct issues before they happen.  This employee is a self-motivator and thrives on adaptability, flexibility and working on multiple things at once.  This employee requires minimal supervision or instruction on how to perform duties and is a self-starter that loves to tackle challenges.  

KNOWLEDGE AND SKILLS REQUIRED

  • Highest level knowledge of:
    • Customers, manufacturers, processes and procedures for Sales & Marketing communication, to and from Customers
  • Must be able to execute multiple projects and assignments without error and with high attention to detail
  • Strong ability to follow-through project implementation and finishes several ongoing projects within budget and on time
  • Provide a high level of service, responding professionally to the Sales & Marketing Team by assisting with training, research, error correction, and process/system-related questions
  • Troubleshoot problems, fix issues, run/create reports and advise on better ways to use SAP to improve efficiencies and reduce redundancies.
  • Assist in developing, QA, maintaining, and implementing applicable policies and procedures
  • Ability to take on duties outside of department scope to support cross-departmental collaboration
  • POC expert for organization/department subject matter
  • Be instrumental in the Sales & Marketing Team success
  • Skilled in Microsoft Office suite; Word, Excel, Outlook, PowerPoint, Visio and Adobe Creative Cloud (Photoshop, InDesign, Illustrator)
  • Effective communicator
  • Experience in training / onboarding employees
  • Adaptable to new software
  • Skilled in SAP
  • Skilled writer with command of English vocabulary and grammar for Customer and Vendor correspondence and production of SOP’s
  • Organized, and skilled in time management
  • Project management experience, ability to create project timelines
  • Ability to work with minimal supervision, high self-guidance.

JOB-SPECIFIC RESPONSIBILITIES

  1. Act as Corporate SOP Compliance Coordinator to Sales department
  2. Schedule and conduct training and re-training/additional training as needed, for new hires and associates in the Sales Department.
  3. Collaborate with other Corporate Coordinators to achieve desired outcomes on various projects and/or change management.
  4. Document assigned meetings and/or audit meetings as needed for the Sales Department.

SALES DEPARTMENT-SPECIFIC

  1. Maintain Sales job descriptions and SOPs, updating them as necessary and providing continuous employee training. 
  2. Audit SAP for compliance related to Sales Orders, Leads and Opportunities
  3. Able to step-in as needed to support the Sales Department as needed.
  4. Ensure appropriate parties log, respond to, and follow-up with Manufacturer-provided leads. Coordinates and assists with entering and responding to leads when high volumes are received, as instructed by Director of Sales.  
  5. General collaboration of SOP development and production and provide administrative support to Director of Sales,
  6. Oversee Sample Room organization, assuring expired product is disposed of and room is kept as an orderly and safe work environment.
  7. Assist with the Coordination of new manufacturer onboarding
  8. Assistance with writing, proofreading and editing product descriptions, SOPs and other communications.
  9. Creating and editing sell sheets, production assistance for photoshoots
  10. Assist in maintaining the qualitative and quantitative data from SAP and customer communications in order to generate reports for manufacturers and internal customers
  11. Assist with gathering customer-facing marketing assets from manufacturers
  12. Coordination of trade shows, including maintenance of trade show calendar, deadline reminders, pre and post show coordination.
  13. Spearhead post “trade event” debrief meetings as applicable. 
  14. Be seen as a role model for professionalism and point of contact for guidance on all matters for the Sales Department.
