The Administrative Assistant functions as a key part of the office administration support, providing assistance to the management team as well as other staff members as directed by immediate supervisor.

Duties may include but will not be limited to: front desk support, human resources and accounting support, publishing, limited marketing, typing, copying, data entry, filing, collating/binding, answering the phone, mailings, meeting coordination and setup, client interaction and hospitality. All duties and tasks will be assigned/approved by the direct supervisor.


1. Work as a team to provide a pleasant environment for clients, visitors and staff in the office including hospitality, answering the phone and covering general front desk responsibilities

2. Provide assistance and support as requested by the Management Team

3. Work with direct supervisor on all primary responsibilities

4. Coordinate with direct supervisor the production and distribution of materials for internal and external use

5. Work with the facilities team to provide backup for general office maintenance and delivery responsibilities

7. Accounting tasks as assigned including weekly deposits

8. Make travel arrangements and provide itineraries as necessary

9. Coordinate activities with executives and staff members to ensure timely completion of projects

10. Input expense reports and periodically review/analyze expenditures

11. Complete all tasks as assigned by management

JOB qualifications

1. High School graduate or equivalent is required.

2. One to three years administrative experience is required.

3. Experience and aptitude using Microsoft application software (Outlook, Word, Excel, and PowerPoint) required.

4. Superior typing, telephone and basic clerical skills required.

5. Excellent organizational skills; ability to effectively handle multiple priorities and meet deadlines.

6. Excellent verbal and written communication skills; ability to compose single correspondence or other materials as directed.

7. Thoroughness, excellent attention to detail; ability to take initiative and work independently.

8. Ability to use discretion when dealing with sensitive and confidential data.

9. Ability to maintain and present a positive and happy attitude.
