Duties, responsibilities, daily activities:

The Senior Program Assistant will support the knowledge management  program and must be ready to quickly learn the systems and technologies used in these efforts. In addition, the Senior Program Assistant will provide administrative support to the Senior Manager of Knowledge Management and the KM solutions (document management and onboarding).

  • Provide administrative support for departmental and cross-departmental projects using knowledge management tools and overseeing automated workflows.
  • Support administration of the knowledge management system in Box, Smartsheet and SharePoint, including, creating new folders, review folder structure usage, onboarding/offboarding team members and assisting with staff training.
  • Manage designated tasks for projects assigned by the Senior Manager of Knowledge Management.
  • Assist project teams in the migration of document to the folder structure.
  • Develop training documentation for the knowledge management solutions.
  • Update to the Smartsheet or SharePoint landing pages as directed.
  • Act as a resource for questions related to above mentioned projects and internal systems.

Qualifications, skills and experience required:

  • A bachelor’s degree plus a minimum of two years of directly related experience; or an equivalent combination of education and experience.
  • Proficiency in application of Microsoft Office Suite including Excel. Knowledge of Power Query and Pivot Tables a plus.
  • Proficiency in online collaboration tools such as SharePoint or Box.
  • Familiarity with Smartsheet, Tableau, and/or Salesforce desired.
  • Experience working with data, excellent attention to detail.
  • Proven success in drafting and editing documents; proofreading abilities a plus.
  • Excellent oral and written communications skills.
  • Strong interpersonal and organizational skills.
  • Proven success in working in a team environment with minimal supervision.
  • Proven effectiveness in prioritizing competing demands, maintaining confidentiality, and in adapting easily and quickly to changing priorities.
